Cadence Club Meeting Minutes February 7, 2023

Cadence Club Meeting Called to order @ 7:07pm by Ashley Hejmanowski

Approval of January minutes –motion to approve Erica Hyland, second by Monica Logsdon

Board Reports:

Treasurer’s Report: Teresa Fathbruckner, in absentia

  • Register balance: $3259.02
  • Statement Beginning balance: $2,646.67

VP1 Report: Jasmin Senecal, in absentia

  • Trailer Status
    • Bill F. says they painted over the patch; however, trailer & hitch needs repair.
    • Bill will go back to the Principal & ask for more support (see email communication after minutes)
  • When do we add the new sponsors? Any sponsors on there now (Byers) can be removed
    • Sponsors stay on for the season (unless it is a lifetime sponsor)
    • Need to add 1 new sponsor – contact Sign Effects, Grove City (original supplier of vinyl)

VP2 Report: Monica Logsdon

  • Indian River Grove Citrus Sale 1/11/23 – 2/1/23 – made $505.50 for the CC- Will need to cut a check to Music Boosters when check comes in
  • Dine to Donate – Chipotle – March 8th, 4p-8p – on-line Order Code will be provided.
  • Dine to Donate – 92 Chicken is asking to participate.
  • Food Truck Fling – May 13th, 5:00-8:00p?
    • Will get 10% profit from food trucks
    • Have each band section paint a large metal trashcan (from the loft) & raffle them off
    • Trucks that have inquired already include: Kats Kraft, ShowDogs, What the Float
    • Need entertainment – jazz band, rock band, etc.
  • When can we sell the old uniforms?
    • Plan days to sell to current, alumni, general population
    • Request to hold a couple of them back as costumes for the Drama Department

Secretary’s Report: Bronwyn Ida

  • Updated Facebook in preparation for Melodies & Marinara
  • Need to publish Sponsors & write Thank You Letters?
    • Ashley will send notes via Facebook
    • Monica has the Thank you Cards

Dempsey Rep: not assigned at this time

  • NOTE: there is no description in the By Laws for this position


Committee Reports:

Food Committee: Sarah Mlckovsky (not present)

  • No Update

Spirit Committee: Jessica Stewart (not present)

  • No update

Uniform Committee, Michelle Class:

  • Jackets – Basically, the same fabric as the current uniforms (passed around a Jacket)
  • No hip cape currently – not a part of the order; need a quote for production & delivery.
  • Students will be purchasing the under shirt.
  • The wraps do not fit the Shako’s – Bill is contacting the company about making adjustments.
  • There is Velcro for a mirror reflector.
  • Will still use the new plumes.
  • Bibs need to be dry cleaned.
  • Where are the shirts going to come from? basically an Under Armor type of shirt. Need to get quotes.
    • Suggestion – Pats Print Shop in Richwood
    • Suggestion – Home Stretch?
    • Bill will check w/Athletic Dept as to who they use
  • Shoes – ordering on-line worked well, will do again next year
  • Is it possible to get the Guard Uniforms before pictures? That is the plan!

Director’s Reports:

Bill Fowles

  • Uniform fittings – for Marching & Concert Bands
    • At the latest during Pre-band camp
  • Solo & Ensemble Jan 28th – 9 soloists; 9 ensembles (9 Superiors; 9 Excellents)
  • Large Group Concert & Symphonic band competition on March 10th-11th
    • Location: Grandville/Newark
    • Will need a check for the OMEA
  • Jazz Band
    • OSU Jazz Day – March 25th
    • Mini Workshop (9 or less cost is $100; more than 9 cost is $200)
  • Working on the schedule for next year – at least finalizing the summer schedule
  • Trip for 2023-24 – met with Bob Rogers Travel Disney/Universal – Orlando, FL – Spring Break 2024
    • Perform in the Parade & a 3-hour workshop – “What it’s like to be a studio musician”
    • Would be Bussing down (not flying) – better for instruments
  • What about having outside students join the Marching Band (St. Mary’s, home school, etc.)
    • Consider having a Marching Band Clinic
    • Look for upcoming dates/communications – reach out to Mr. Fowles directly.
  • Show Reveal will be at a parent meeting in April

Alan Notestine

  • Planning a Middle School Solo & Ensemble at Dempsey
    • Need to feed the Judges (will have less than 10 judges)
    • Number will depend upon the number of Kids competing.
  • Small collection of kids (6-10 soloists; 4-5 ensembles

Michelle Kapp – Melodies & Marinara Chair

  • Melodies & Marinara – February 4th – went REALLY well.
  • Donations for food – Sponsors: OPA, Donato’s, Jett’s
  • Drinks – water & lemonade; ice
  • Desert (donations from Parents)
  • Auction Items – 30 baskets
  • Total on Baskets/Meals = approx. $4,000

Old Business:

  • Tag Day – move to Spring – end of April/beginning of May
    • Ashley will check the school calendar for April & May
    • Tentatively May 6th?
  • Should we start soliciting for upcoming open positions – Secretary & VP1
    • Send an email for open positions & nominations in March
    • Dempsey Rep – should be a description in the Bylaws – not originally found
      • (Look through the printed Bylaws that are with the Treasure’s information)

New Business

  • Just FYI… Parade Hours can count as volunteer hours for Senior students that still need hours

I will reassess having this panel replaced later this spring when we can know if we have money left in the budget to do so. The trailer is board property and maintained in a similar manner to other board-owned vehicles.

I am also working to secure a smaller truck with which to tow this trailer. The current combination vehicle is large, awkward and likely overloaded on some occasions. When one of our professional school bus drivers is provided a more suitable tow vehicle, they may be better able to react to scenarios like the one that caused this damage.

I beg to differ that proper repairs were made based on the attached picture. The patch that I personally installed 5 days after the accident occurred was simply painted over. I made the repair because it wasn’t done by the bus transportation department before the next competition, and it was supposed to rain. I didn’t want any more damage to occur, so I made the patch. The proper repair would be to have the damaged panel/s removed, inspect, and repair the damaged vertical frame member and then replace the panels. Was the ball mount hitch inspected as well because I know for a fact that that was tweaked as well when the trailer was jackknifed? I have pictures to prove that as well. I have heard there was a comment that the trailer repairs are costing more than the trailer. I can’t agree more because the school didn’t purchase the trailer or completely outfit the trailer with everything on the interior to meet the needs of the marching band. The Cadence Club paid for the trailer, and I did the majority of the interior with the help of a few other Cadence Club parents. The trailer cost was more than $20,000.00 and I spent nearly 120 hours of my personal time to outfit the interior. So, your statement is true, something that you have gotten for FREE, does cost more to maintain than the original purchase. I might also note that the repairs have only been needed because of the damage incurred by two of your bus drivers. We outfitted the truck and trailer with cameras and the only thing that would make it any less likely to get damaged, is to have professional drivers who have much more experience at pulling large trailers behind the wheel of the truck. I would suggest that if you have drivers that are comfortable and confident with driving the trailer, be assigned to the trailer.

Please understand that the marching band requires this trailer to transport their equipment to football games and competitions. They need their instruments to get there safe and dry. The previous trailer was used for nearly 20 years, it may have been used prior to purchase, and the Cadence Club purchased a better one with the intent to get 20 years, The trailer was purchased in March of 2018 and just completed the fourth season, I believe 2020 had no traveling involved. By all accounts this is still considered a fairly new trailer and is this considered a proper repair by your bus transportation department? I don’t think so,

I look forward to hearing back from you, but if I don’t get the answers that I expect, I will be taking this to the school board members.
