Cadence Club Meeting Minutes January 3, 2023

Cadence Club Meeting Called to order @ 7:01pm by Ashley Hejmanowski

Approval of November minutes –motion to approve Monica Logsdon, second by Devon Kaster

Board Reports:

Treasurer’s Report: Teresa Fathbruckner

  • Register balance: $2,434.06
  • Statement Beginning balance $2,684.90
  • Statement Ending balance $2,646.67
  • Recent Activity:
    • Outstanding transactions – $212.61 Athletic Boosters Check
    • Total Checks & Payments – $900.25     Total Deposits & Credits – $862.02

VP2 Report: Monica Logsdon

  • Presale shirts – still awaiting totals – a lot of last-minute orders
  • Indian River Grove Citrus Sale 1/11/23 – 2/1/23
    • Ordered physical brochures to hand to Band Members, as well as on-line orders
    • March & April Delivery Dates
  • Melodies & Marinara – early February
    • Michelle Kapp is chairing
    • Need to send some updates through the Cadence Club email
  • Dine to Donate – Chipotle – March 8th, 4p-8p
  • Dine to Donate – trying to set up BW3
  • Dine to Donate – 92 Chicken is asking to participate
  • Food Truck Fling? Several trucks are reaching out

Secretary’s Report: Bronwyn Ida

  • Updated the position descriptions in the last minutes; included as old business in Jan minutes
  • Reviewed the By Laws – no reference to the Dempsey Rep position

Dempsey Rep: not assigned at this time

  • NOTE: there is no description in the By Laws for this position
  • Ashley will email Alan N. re: the requirements for the position; examples:
    • Help organize Dempsey Night
    • Help with larger Fundraisers
    • Be the contact point/chaperone for the Band Aids (4-5 total)
    • Attend Cadence Club meetings
    • Find chaperones for All City Band performances
    • Potentially help with Dempsey fundraisers

Food Committee: Sarah Mlckovsky (not present)

Spirit Committee: Jessica Stewart (not present)

  • No update

    Uniform Committee:

    • No update

    Director’s Reports:

    Bill Fowles

    • No info on the status of the uniforms – hopefully they will be here soon
      • Planning on selling old jackets as fundraiser
    • Solo & Ensemble Jan 28th – 8-9 soloists; 8-9 ensembles
    • Large Group Concert & Symphonic band competition in March 10th-11th
      • Location: Granville/Newark
    • Some kids have applied to be a part of the SpongeBob Musical
    • Jazz Band – continuing after school practices; go to 1 large group
    • Trip – need to check with School Admin to see what is allowed
      • Potentially have a Chicago Trip lined up
      • Potentially someplace warm for next year

    Alan Notestine

    • Small collection of kids (6-10 soloists; 4-5 ensembles)
      • Looking to do an on-site Solo & Ensemble in April
    • Jazz Band will start back up Mon of next week
    • Melodies & Marinara approved for Feb 4th

        • Really need more items for the baskets

        • Ticket costs – Adult $12; Students/Seniors $10
        • $1000 donation from Masons (Ben Gilsdorf connection)
          • Potentially use for paper goods
        • Decorating – need volunteers

        • Monday Jan 9th @ 6:00p – meeting to hash out more details
          • Meet in the cafeteria
        • Organize the performers – Bill F. & Alan N.
        • Organize the servers – tip jars on the tables
        • To-go plates? Would rather not (trying to get people to stay for the auction)

      Old Business:

      • Tag Day – move to Spring – end of April/beginning of May
        • Ashley will check the school calendar for April & May
      • Should we start soliciting for upcoming open positions – communicate the explanation of the Roles
        • Secretary (added after the meeting)
          • Secretary: The Secretary shall keep and preserve accurate records of all regular, special and Executive Board meetings, maintain the Cadence Club Process Library,  and handle the correspondence of the Cadence Club.  The Secretary will chair the Publicity/Communications Committee, maintain the member roster, and perform other duties as assigned by majority vote of voting members present in person at the meeting. The Secretary will also facilitate an annual review of the documentation in the Cadence Club Process Library.

          • 1st Vice-President: The 1st Vice-president, in the absence of the President, shall perform the duties of the President. The 1st Vice-president will chair the Transportation and Field Crew Committee, oversee the Chaperone Committee, and perform other duties as assigned by majority vote of voting members present in person at the meeting.
